Resposability:

The Supplier agent is responsible for carrying out daily supplier accounting activities within the Beira agency accounting department.  The tasks of the Supplier agent are carried out in such a manner to ensure the efficiency of internal controls, in compliance with Group standards, and completed in a timely manner. The supplier agent will also be expected to identify any process improvements which may be relevant to the supplier’s accounting activities.

Main Tasks:

  • Booking all the invoices related to general costs in the Sun system and preparing the respective payment to suppliers.
  • Booking all the advance payments to suppliers and ensuring that the account is cleared once we receive the final invoices.
  • Organize operation payments to suppliers (Transporters shipping line and Port).
    Weekly reconciliation and dispute follow up
    In charge to send all the payment request (payment voucher to HQ);
  • Stamp all supplier invoices paid and send them to the archivist to be filed according.
    Allocate all allocable debits and credits in supplies accounts.
  • Justify the unallowable debts and credits with more than 90 days outstanding.
  • Monitor the supplier’s accounts to keep invoices less than 30 days overdue.
  • Monitor Supplier payments so that overdue invoices are paid.in time.
  • Maintain zero balance in transit accounts at the end of the month.
  • Analyze all disputes for than more 30 days without a response from suppliers.
  • Monitor all invoices related to general costs and ensure that all are booked before the end of the month.
  • Ensure that all fixed cost invoices are received, accounted for, and paid in time to avoid fines.
  • Given all necessary support to the team.

Skills / Knowledge / Attributes:

  • Minimum High School Diploma (« Decima Segunda ») or equivalent professional qualification
    Skills/Knowledge/Attributes:
  • Strong understanding of the workings of an office.
    Basic understanding of accountancy and book-keeping.
  • Would hold or be working towards a certificate related accountancy qualification.
  • Knowledge of basic bookkeeping.
  • Accountable for specific performance.
  • Team player with a focus on the Company’s results first.
  • Ability to communicate and interact at all levels (upper management and staff).
  • Exceptional written and verbal communication skills, including ability to articulate recommendations in a concise and timely manner
